Policies and Guidelines Governing the Use of the

Sugar Creek United Methodist Church

Introductory Comments

 

These policies and fees were correct at the time of posting (December 12, 2000), but are subject to change by action of the Trustees and Leadership Team. Please call the church at 217-483-2270 for clarification, verification and additional information.

General Policies

 

1.      The Mission Statement of the Sugar Creek Church will guide the decision-making process for any consideration of special uses of the building and grounds of the Sugar Creek Church.  The Mission Statement is: A place for beginning, becoming, and belonging.

2.      Priorities for use of space, facilities, and equipment are established in this order:

  1. Regularly scheduled services and meetings of the Sugar Creek congregation.

  2. Sugar Creek Church sponsored groups and ministries.

  3. Activities and meetings of members of the Sugar Creek congregation.

  4. Meetings and activities of the Illinois Great Rivers Annual Conference.

  5. Community non-profit organizations and service groups.

  6. Other groups and organizations.

3.      Alcoholic beverages are not allowed in the church building or on the church grounds.

4.      Smoking and the use of tobacco products are prohibited in the church building.

5.      Children or youth may not use the building and grounds unless they have adequate adult supervision.

 

Administrative Guidelines

 

1.      Before scheduling an activity requiring a meeting room, the fellowship hall, the worship center, or other space a request for such space shall be made to the Sugar Creek Office.  All assignments can then be coordinated and recorded on the Church Calendar.

2.      Organizations, groups, or individuals not a part of the Sugar Creek congregation shall submit their requests for space by completing the "Agreement for use of Church Facilities" form to the Sugar Creek Church Office.  The Administrative Assistant is authorized to accept payment to cover the cost of building use, utilities, and extra services as assigned by this written policy.

3.      If the general policy as approved by the church does not provide the specific guidelines needed and there is no appropriate precedent to cover a specific case, the Administrative Assistant in consultation with the Chairperson of the Trustees and the Pastor shall make a decision in each individual case.

 

General Guidelines

 

1.      The policy shall be to use the total church facilities to the best advantage of the church in carrying out its mission.

2.      The use of decorations, the changing of furniture, attachment of materials to walls, and items of a similar nature shall be done only with the advice and consent of the Pastor, Administrative Assistant, or other Staff Member.

3.      The music instruments in the worship center and other locations in the building are under the care and supervision of the Sugar Creek Music Ministry and may not be used without permission from a member of the Church Staff.

4.      The sound system in the Worship Center has been professionally designed and installed.  No additions or changes to the sound system shall be made without the expressed approval of the Leader of the Sound Technician Ministry Team or a member of the Church Staff.  Approved changes must be made under the supervision of a member of the Sound Technician Ministry Team.  The Sound System is to be operated only by authorized church personnel at the established fee schedule.

5.      Use of the kitchen and its equipment must be made with prior arrangement of the Church Office and after informing the Kitchen Coordinator.

6.      Church equipment is not loaned outside the church facility and grounds (except for equipment used for church-sponsored activities) unless approved by the Church Office.

Schedule of Donations for Use of the Sugar Creek Building and Grounds

 

Group 1

 

Church groups and organizations connected directly with the ministries of the Sugar Creek Church or very closely associated, such as:  Work Teams, Task Forces, Administrative Teams, United Methodist Church Area/Conference/District Organizations, Scouting Groups, Student Ministry Groups, Church Athletic Groups, Individual Member’s Celebrations (non-profit).

 

Group 2

 

Civic Organizations, Non-profit Organizations, and other Organizations Whose Purpose is for Community and Personal Improvement.

 

Group 3

 

Business Firms, Private Individuals

Room and Grounds Donations are for 3 hours or less.  Hours or fractions of hours beyond the 3 hours will be assessed at one-half the donation for each additional hour or fraction.

 

Custodial Fees will be assessed in instances where custodial services are needed.  The custodial fee is $40.00 for use of the Worship Center and $40.00 for use of the Fellowship Hall.  The custodial fee for use of classroom space and the kitchen will be determined on a case-by-case basis.

 

Pianist Fees of $75.00 will be assessed in the event of a wedding in need of musical accompaniment.  A vocalist is also available at the fee of $25.00.

 

Sound Technician Fee is $20.00 for wedding services and other special events that last for an hour or less.  Events which last more than one hour will be negotiated on a case-by-case basis.

 

Kitchen Donations shall be arranged with the Board of Trustees and the Kitchen Coordinator and will be determined by the extent of the use of the kitchen.

 

Payment of Donations

 

Donations are requested to be given at the time of the approval of the building use request and are non-refundable.
